Terms & Conditions - Accommodation

1. Guests must ensure that they have read the terms & conditions before arrival at Elandsfontein for their South African Safari.

2. Rates and Deposits:
All of Elandsfontein rates are quoted in South African Rand.
We require a 30 % non-refundable deposit within 5 days in order to confirm your reservation.
Elandsfontein reserves the right to cancel any reservation should no deposit be received by the date indicated on the deposit.
Elandsfontein reserves the right to cancel all services booked should full payment not be received 30 days prior to arrival.
For last-minute bookings (less than 30 days before arrival) Elandsfontein Game Reserve will allow 48 hours from time of confirmation until
payment reaches us before we will cancel any services booked.

3. Cancellation:
When a booking is cancelled more than 30 days before commencement of services, there will be a cancellation fee of 30% of the quoted price, plus any third party additional costs. A cancellation 30 days and less prior to commencement of services will result in a cancellation fee of 100%.

4. Payment:
Our rates are quoted and payable in South African Rand. Direct transfers can be made into our bank account. Our banking details appear on your invoice. All payments should be made in full and free of any bank charges. Due to infrastructure constrains we cannot accept or process any Credit Card payments.

5. Travel Documents (Foreign Visitors):

It is of utmost importance that you thoroughly check your visa requirements before your intended date of travel, as Elandsfontein cannot be held responsible should the necessary visa requirements not be fulfilled. Border officials in some countries are not in a position to issue visas on the spot, hence the need for obtaining visas in advance. Both the cost, currency, accepted method of payment, and type of visa (i.e., single, double or multiple entry) should be checked in advance to avoid any inconveniences and delays when entering countries or crossing borders. This is of particular importance as some countries change their visa requirements with little or no warning. It is recommended that you travel with at least 2 blank passport pages per country visited. Please ensure that your passport is valid for a minimum of 6 months after your date of travel.

6. Prices:
All rates quoted are gross, including VAT of 14% where applicable and are subject to change without prior notice.
Rates are quoted per person per night for full board accomodation or for the whole lodge self catering.
Rates DO NOT include, shop purchases or gratuities.
Unless expressly stated otherwise on your quote / invoice, Rates also Do NOT include alternative activities and excursions (eg. Golf, Quad bike Safari's, Fossil Site Visits, Scenic tours, Air Charters), shuttles to Elandsfontein from Saldanha Airstrip or Cape Town International Airport.

7. Conditions:
All reservations are made on the express condition that Elandsfontein, and its staff and agents shall not be responsible for and shall be exempt from all liability in respect of any loss, damage or accident, delay or inconvenience to any person, or his luggage or other property.
The guest must at all times comply with the laws, customs and foreign exchange regulations of the country visited.
Should a guest be detected in any contravention of the laws, customs and foreign exchange regulations, or should the guest be a nuisance to the Elandsfontein it's staff or other guests, Elandsfontein may order the guest to leave without refunding any monies paid and without liability to Elandsfontein or its staff or agents.
The guest shall be obliged to make his own way home at his expense and responsibility.
In such circumstances Elandsfontein shall not be liable to make any refund.
The guest/s undertakes and agrees that he will at all times comply with Elandsfontein's requirements with regard to their conduct and will not in any way constitute a nuisance to other persons / guests.

8. Responsibility:
Elandsfontein accepts no liability for any injury, loss, accident, delay or any other irregularity howsoever occasioned.


9. Insurance:
Travel Insurance is recommended, covering for personal effects, personal accident, medical and emergency travel expenses, cancellation and curtailment as the reservation will be subject to cancellation penalties as detailed above.

10. Medical:
The guest is responsible for arranging insurance cover for medical emergency evacuations. Should the guest be a member of a medical aid that provides emergency evacuation cover through, for example ER24 or Netcare 911, the guest must provide reception with his/her medical aid membership number and emergency telephone number on arrival. Guests that take chronic prescription medicine should ensure that they have an adequate supply for the duration of their stay. In the event of a medical emergency evacuation all costs will be the sole responsibility of the guest.

11. Child Policy:
Children under the age of 12 years are accommodated by prior arrangement only.
Children under the age of 3 years stay for free.
Children between the age of 3 and 11 years old may share their parent's room in a cot / on a mattress and are charged 50% of the adult rate.
Children from 12 years old will be charged at 100% the adult rate.
A maximum of two (2) children may share a room with their parents.
There will be no discount for children on Special / Promotional offers.

12. General Reserve / Manor / Lodge Rules:

a. No pets are allowed.
b. You are not allowed to feed the wild animals.
c. Please respect the wildlife, all wild animals can be extremely dangerous.
d. Guests are not allowed to catch or shoot any wild animal. Offenders will be fined and or imprisoned if caught.
e. Sonqua Manor is a 100% no smoking area, please smoke in the designated areas only. (Please ask the lodge staff where you are permitted to smoke.)
f. Please adhere to the speed limits on the roads, speeding kills animals.
g. Please do not litter - all garbage to be put in bins provided.
h. Please do not leave any water in the guest bathrooms running.
i. Please consider other people; you are in the bush to enjoy the peace and quiet no excessive noise allowed after 22h00.
j. Do not flush any foreign matter down the toilets as Elandsfontein uses a septic tank that can be blocked by foreign objects.
k. Guests will be held liable for any willful damage to any property of Elandsfontein. Replacement and / or repair cost will be for the account of the guest/ guests.

13. WARNINGS

DO NOT walk around at night as dangerous animals like buffalo come close to the Manor.
DO NOT walk away from the perimeter of the Manor during the day as there may be dangerous animals like buffalo close by.
Spiders, snakes and scorpions: These creatures are part of our environment but will most probably not harm you if not disturbed.
Wild animals: Although attacks by wild animals are rare, guests are reminded that many of the animals and reptiles they will see are potentially dangerous. Neither Elandsfontein, their staff members, associates, agents, nor their suppliers can be held liable for any injuries caused during an incident involving the behavior of wild animals.
Swimming pool: All children must be under their parents supervision at all times around and near our swimming pool. Parents hereby assume full responsibility for their children in the event of an accident, or drowning or physical injury to their child. In the event of any accident or drowning or physical injury to any guest whether it be adult or child, Elandsfontein Game Reserve will not be liable under any circumstances for any claim against Elandsfontein. No diving into the pool as the pool is a maximum of 1.5 meters deep. The deck may become slippery when wet, please walk carefully.
